Hi. How are you? Guess what?I have encountered several problems in organizing exhibition and trade fairs.I 'd like to ask for your advice.I need your help!


The first problem is about online registration. Some guests found it extremely difficult to register online. The computer system did not accept most of the application even after several trials. Next, it is about venue crowded. The number of guests were a lot more than the venue capacity. The last problem is the lack of leaflets. There were not enough leaflets for people to get.

Can you give me some advice on these problems?

Dear Ms Kong,

I am writing to provide my suggestions on the problems encountered during the exhibition Sound Systems 2011.

1. Online registration
Some guests found it extremely difficult to register online. The computer system did not accept most of the application even after several trials.It is because the company's server was overloaded as well as the customer browser was out of date. I would like to suggest that the server should be upgraded as soon as possible in order to guarantee a greater capacity. We should also put some notices to notify the guests for the problem and to ensure that technical support would be given, including calls from our staff to follow up.

2.Venue crowded
The number of guests were a lot more than the venue capacity during peak hours, causing the over-crowded problem. This is mainly because of the communication problems, inducing our failure to book a large-enough venue.This is suggested that communication efficiency should be improved and the venue should be booked earlier. Another reason is that the venue was only crowded at peak time or at certain areas. Therefore, I would like to recommend off-peak visits.

3. Leaflets
The last problem is insufficient leaflets. Some guests complained that there was not enough leaflets to get. This is because of our environmental concern and some people are taking too many. It is recommended that we should create an online version for the leaflet and to ask our staff to handle out.

Dear Mr Leung,

Thanks for your letter for pointing out the issues we had. I am writing for explaining the adjustment we are going to make in order to provide a better service to you and all our customers.

For the first issue regarding online registration, we are going to upgrade our server in order to ensure a greater capacity. Moreover, we would put a notice on website as soon as possible to provide technical support to the customers.

Regarding the issue for over-crowded venue, we would book venue earlier next time in order to provide a bigger venue for the exhibition. In addition, we would also recommend the off peak visit for our customers to avoid the crowded period.

For the last issue, the lack of leaflets, we would suggest the online version of the leaflets to save more paper due to the environmental concern. Furthermore, to avoid some people taking too many leaflet, we would assign our staff to hand over the leaflet rather than let the customers take the leaflet by themselves.
